Position Title: Oceans Administrative Assistant
Reports To: Director of Dept. Oceans and Maritime Affairs
Location: Port Vila, Vanuatu
Position Type: Full-Time
Position Summary
Based in Vanuatu, the Oceans Administrative Assistant will provide a wide range of support to the department's Director. The general goal is to enable a substantially higher level of overall efficiency in the Director’s interactions within the Department, with Ministry management, senior government leaders, other government agencies, and various partner and stakeholder groups. A critical interface will be with members of the Blue Prosperity Vanuatu team, a government program supported by the Waitt Institute through a partnership.
Key Responsibilities

Schedule Management: Manage the Director's calendar to ensure all meetings (in-person and virtual) are scheduled in advance and that the Director receives updated printouts of meeting obligations each week. Meetings with partners, MFOMA ministry, OPSC, and stakeholders should be fully captured in the calendar

Communications: Manage the Director's emails to ensure daily clearance of all emails. The email filing system should be rigorously maintained, and the Director should assist in replying to urgent emails and attend to pending emails in a timely manner. Email filing should be organized by folder, with the inbox cleared daily and pending tasks filed in the ACTION folder to be cleared regularly.

Task Development and Support: Coordinate Director input needed for task management for team members, as well as Director tasks required under OPSC and Job Description, Business Plan and Budget Narratives
Qualifications

Minimum 2 years of experience in an administrative position

Understanding of the administrative systems and processes of the Vanuatu Government. Ideally, would have their own substantial network of contacts throughout government.

Tertiary degree in a relevant field

Office Administration

French Language a plus

Regional & cultural competence:

Knowledge of regional architecture

Understanding of Vanuatu Malvatumauri and the Chiefly system

Operational coordination:

Project management experience is a plus

Proven track record of office management and coordination expertise
